A.Team Cuts Scheduling Time by 70% with Cal.com—Here’s How They Did It

Who Is A.Team?

A.Team was born from a very simple idea — that teams matter. After all, the best things in the world have been built by great teams. The A.Team platform is centered around this ethos and is designed to be a space that facilitates legendary team-ups between product builders and companies alike.

A.Team is powered by a network of 11,000+ vetted experts and backed by $60M in funding. As the world’s first Team Formation Platform, they're reshaping the future of work by helping industry leaders find the talent they need — in minutes, not months.

A.Team uses their network's critical mass and combines it with a proprietary in-house AI that's built to help people get jobs. Their platform helps industry leaders efficiently assemble world-class product teams comprised of top Silicon Valley talent. This, in turn, means that their clients can build better products faster.

The Challenge

A.Team discovered Cal.com as part of their standard software procurement process. Prior to using Cal, A.Team managed their scheduling manually via a combination of Calendly, Zoom, and ingenuity. It was not an ideally optimized experience.

Due to the dynamic niche they serve (Founders, CTOs, CIOs, and other leaders), A.Team handles hundreds of calls per month. This is an essential part of the team interview and matching process. However, before using Cal.com, the meeting component of the matching lifecycle was exceptionally time-consuming, especially for their admins.

As A.Team is committed to efficiency, they found the delays caused by this process to be unacceptable because it negatively impacted not only the user experience for both companies and builders but also increased the time it took to close deals. As any person in sales will tell you, time is of the essence.

"With Cal.com, we've reduced our manual scheduling workload so significantly that we now save the equivalent of a part-time support staff member's work each month. The platform’s automation has drastically increased our operational efficiency, allowing us to focus more on business growth."

A.Team decided to take advantage of Cal.com's self-hosted option and per-booking pricing model. This choice made the most sense for them as they had the technical expertise to manage the complexity that comes with self-hosting. Choosing to pay on a per-booking basis made sense to them since, even though they have a large community of over 10,000 members, they typically only manage around 1,000 bookings per month.

Choosing this specific package meant A.Team was able to secure the calendar-scheduling infrastructure they needed while also keeping costs down. As an added bonus, using Cal.com meant that A.Team would be able to integrate their own analytics. This mattered to them since it would let them own all the data generated from bookings.

The Solution

A.Team had three main goals when signing up for Cal.com: reduce the time to interview, reduce time to evaluation, and capture more data through integrated call recording and transcription. All of these objectives were achieved thanks to their decision to use Cal.com.

"Since adopting Cal.com, we've eliminated scheduling delays and significantly improved our builder and client experiences. Faster evaluations and interviews translate directly into more successful, timely placements, helping us close deals quicker."

Cal.com provides a variety of options for teleconferencing integration. A.Team chose to take advantage of Cal.com's compatibility with Daily.co. This made it easy for A.Team to integrate automated custom LLMs that they use to gain meaningful insights by analyzing transcripts from interviews.

"Since implementing Cal.com, our 'time to interview' has decreased by over 75%, and 'time to evaluation' by approximately 70%. These time savings have had a direct impact on deal velocity, enabling faster hiring decisions and creating a more seamless user experience for both builders and companies."

None of this had previously been possible when the team was using an assorted combination of products like Calendly and Zoom to facilitate appointments and booking.

The Result

All of A.Team's evaluation calls are currently booked and conducted through Cal.com's scheduling infrastructure. This has made it easy for interviewers, builders, and companies to integrate their calendars and connect via one-on-one meetings.

The majority of appointments are hosted via Daily, which is the same product that powers Cal Video. As a result of using Cal.com's scheduling infrastructure, A.Team is now seeing team identification and sign-up cycles completed within a span of 48 hours.

"By automating our scheduling through Cal.com, we've minimized administrative delays and improved our customer experience. Self-serve scheduling has helped us maintain deal momentum—because in sales, every hour counts!"

This includes the time it takes for a company to find a builder, request an interview with them, actually have the interview, and hire them. Prior to using Cal.com's infrastructure, this would not have been possible for A.Team to achieve.

This is because Cal.com's customizable nature, when combined with A.Team's proprietary AI and self-service options, facilitates a rapid identification and recruitment cycle that cannot be matched.

"Before Cal.com, scheduling required multiple manual touchpoints and frequent back-and-forth across time zones, often leading to delays. Now, builders and companies can self-schedule, and our visibility into the interview process has improved, giving us real-time insights for better decision-making."

The fact that A.Team chose Cal.com as their calendar scheduling infrastructure solution speaks not only to the effectiveness of Cal.com as a product but also to the strategic and long-term vision of A.Team.

Cal.com was designed with the goal of freeing people by eliminating scheduling inefficiencies so they can truly own their time. Seeing a platform like A.Team supercharge their workflow by using Cal.com's infrastructure is a testament to how Cal.com is setting new standards for the world of calendar scheduling.
